We agree! We used to host an occasional (approx. monthly) casual meet-and-greet at a public bar/dance club. In order to facilitate talking and getting acquainted (being able to hear each other), we started very early, usually 8:30-9:00, well before the crowd got there. There was music, but the volume was down quite a bit until about 10:00. It was very easy to talk up to that point. The main crowd would get there around 10:30-11:00, and things were getting louder and looser by then. For the group, the evening would just gradually evolve from talking and getting acquainted, to more flirting and lots of dancing. Worked out well! Every single time, new people we were completely unfamiliar with would show up. This thing was run through a Yahoo group.

The thing with most meet-and-greets is that unless it's a closed very private group, anybody can come and many will be strangers to each other. This is nothing at all like a Board meet-up situation would be. It sounds like you all had plans for the whole weekend with the board meet-up. Very organized; sounds like great fun!

A meet-and-greet is kept very simple out of necessity, because it's virtually impossible to know how many are coming, or even who all is coming....so the dinner reservation idea would not work in situations like what we were hosting. However, the idea of setting the arrival time at the club/bar early really works. Maybe your local meet-and-greet organizers would go for this idea?
